Step 6: Approve task updates & Verify Gantt chart values


Section 1: Approve task updates

Once the team member submits the hours for the administrative tasks, the resource manager/project manager receives a notification in the updates section.

Steps:
  • Logon to PWA as Project Manager (OR) Resource Manager
  • On home page. Click on task message link under “Updates” (OR)Click on “Updates” on top menu of PWA
  • Review the updates made by each resource and set approve/reject against each task and click the “Update” button” in the upper right corner



  • By doing this step, PWA automatically launches the Project Professional and saves the changes to the project plan and displays a following message to you to Save the plan



  • Because of the Task Type is Fixed Duration for each task in the administrative project, the system displays a warning message for each updated task as below:



  • Click OK button to continue. The system process the task updates into the administrative project and it save the project





Section 2: Verify Gantt chart values

Once you approve the PWA task updates successfully, the following calculations are made for task in administrative project:
  • The Work field, the Actual Work field, and the Actual Work Protected field will update to equal the value of the actual work that is reported by the resource
  • The % Complete field will be set to 100%.
  • The Remaining Work field will equal 0 (zero).
Please verify the updates in Gantt chart by doing the following steps:
  • View menu ->Choose Enterprise Gantt chart (or) Gantt chart
  • Insert columns “Task Type, % Completed, Work, Remaining Work, Actual Work and Actual Work Protected”
At any point of time, your administrative project should have the following properties:

Task type should be "Fixed Duration type"; % Complete should be 100% for each task; Work, Actual Work and Actual Work Protected values should be same for every task.


In this our example, Gantt chart will be looking as below:



The following observations are derived from above Gantt chart
  1. Chak submitted the 80 hours of planned vacation by clicking the “Notify your manager of time you will not be available for project work” on timesheet. So, 80 hours are appearing as work against Vacation task. Once Chak came from vacation, he has to submit 80 hours of vacation time as actual hours from timesheet. At that point of time, we will see 80 hours for Work, Actual Work and Actual Work Protected columns for Vacation task.

  2. Chak submitted the actual work for System Administration task from 1/4/2008 to 1/10/2008. So accordingly the start date and finish dates will be shown for this task. Next week after accepting time for this task, task finish date will be change something like 1/17/2008. i.e. The start date of the task will be set to match the earliest start time of actual work that is entered by a resource. The finish date will be calculated based on the amount of work that is reported and on the availability of the resource.

  3. System Administration and Meetings tasks are completely satisfying the admin project properties. (task type, % work, work, actual work and actual work protected).
