Step 5: Insert sub projects in program plan

We already created the program plan in server. Now we have to insert sub projects in program plan for consolidated view and as well as to have the structured program hierarchy by having related sub projects.

When you are inserting sub projects for Program Plan, you have the following options for each inserted sub project.
  • Read/Write or Read Only Mode
  • Link to project

Read/Write mode: Having Read/Write mode, you can able to update the individual project from program plan.

Read Only mode allows us to view the individual project information as read-only. If you choose this option, it’s not possible to update the individual project from program plan.

Link to project: Link to project option establishes the information flow between individual project and program plan. By having link, any updates performed on individual project will appear instantly on program plan. Also, changes performed on the program plan will also reflect on source file.

If you insert the project without choosing the Link to project option, the project will be appear as local tasks in program plan; and also if any future updates performed on subproject will not be visible on program plan.


Steps to Insert sub projects in Program Plan:

(In this example, I am showing the steps to insert the three sub projects from our example.)
  • Make sure you launched MS Project Professional 2007 by connecting to MS Project Server 2007
  • Open Program Plan from server
  • On View menu -> Gantt chart
  • Click on next available row in Gantt chart
  • On Insert menu -> Project



  • Choose the project from list -> Specify Read/Write or Read Only mode -> Specify Link to Project option -> Click on Insert



    Note: With the above options Link to project and Read Only; I can view the updates done by project manager on “Invoice System Upgrade” in program plan. But it’s not possible to update the source project from program plan.

    Please note that entire project is now appearing as summary task in one line. You can expand the project by clicking + sign to view the tasks. Also you can see the icon with message saying that the inserted project is read-only.



  • I am inserting the next project “Product Warranty Tracking Upgrade” with Read/Write and Link to project options



    Note: With the above options Link to project and Read/Write; I can perform the updates to “Product Warranty Tracking Upgrade” from program plan. Please remember, this subproject is in RW mode and checked out from server, so it’s not possible to perform any updates for other project managers on this project.

    Please note that entire project is now appearing as summary task in next line.



  • I also inserted the next project “Op Systems Upgrade” with the options “Link to project” and “Read-Only”

    Now, the Gantt chart will have there projects. The each project is appearing as summary task.






TIP: Sub projects inserted with Read-Only and Linked to Project option will have MPP icon with red exclamation mark on first cell.



Please proceed to Step 6 for further process.
