Outlook integration features enable you to import task assignments or to-do list tasks to your Outlook calendar from Project Web Access (PWA). You can also submit task updates (% complete or actual work in hours) by using Outlook. Project Managers must approve submitted task updates. After they are approved, these updates are then reflected in project plan and PWA.
In Outlook, task assignments and to-do list entries are appear as Calendar appointments, and you can view them along with your Outlook appointments. This is useful if you are required to report task updates and prefer to manage all your work items by using Outlook instead of PWA. With the integration of Outlook with PWA, you no need to login to PWA timesheets to submit task updates.
Prerequisites for PWA Outlook integration:
In order to use Outlook integration features, you must
- Have a valid PWA user account (You should have "Integrated with External Timesheet System" and "View Home" Permissions. Please check with your Project Server Administrator.)
- Be using MS Outlook as Email Client
- Add Project Server URL as trusted site
- Configured IE trusted security options on your machine
- Download the Outlook Add-in from PWA
Add Project Server URL as trusted site
On IE browser, Tools -> Internet Options -> Security -> Trusted Sites -> Sites -> Type the above URL of the PWA home page -> Click on Add -> Click OK > Click OK
You have to set the following ActiveX security settings in IE.
On Internet Explorer, Tools menu -> Internet Options -> Security -> Choose "Internet" icon -> click on "Custom Level" -> Choose "Prompt" under "Initialize and script ActiveX controls not marked as safe.
Also, you need to have seems less connectivity to PWA home page. If your Project Server and Outlook are in different domaians, in this case please set the following.
Configured IE trusted security options on your machine
Please open the Internet Explorer and do the following:
1) Tools -> Internet Options -> Security -> Trusted sites -> Custom Level -> Miscellaneous -> “Access data sources across domains “-> Enable and click OK
2) Tools -> Internet Options -> Security -> Trusted sites -> Custom Level -> User Authentication -> “Automatic login with current username and password” and click OK
