To view the document, click on document name link. This action opens the document by using client application in Read-Only mode
Edit Document:
Checking out and Checking in are the available features are provided by SharePoint site on document management. Checking Out and Checking in documents lets others know what documents you are working on so that they don’t work on them at the same time.
steps:
- Access the document library
- Look for required document
- Move your mouse over the document you would like to checkout before edit
- Click on Checkout
- A dialog box that appears informing you that checked our document will be placed in the local drafts folder
Note: Local drafts folder is located on your local machine and generally path is \Documents and Settings\\SharePoint Drafts
- Click OK
- Move your mouse over the document you would like to edit
- Client application associated with that document will be appear here
Example: If you are trying to edit the word document, so you will see the option “Edit in Microsoft Office Word”; If you are trying to edit the excel document, so you will see the option “Edit in Microsoft Office Excel”
- Click on available Edit option
Note: If you are not seeing the required application option here, it may be due to that particular file type may be not allowed to edit from SharePoint. In this case, upload the edited file by choosing the “overwriting the existing file option.”
- Enter user name and password, if required
- Document will be open in client application
- Edit the document
- File > Save
- File -> Close
- A dialog box that appears to confirm about “Check in file / Keep Checked out / Discard changes and undo checked out”
- To close and check in file back to the SharePoint site, please choose Check in File -> Enter the comments to create the version of the document with your edits -> Click OK
- To continue to edit the file, choose Keep Checked Out
- To cancel the edits and checked in file back to the site, choose Discard changes and undo checked out
